What is an ‘L&T Team’?

These are Teams that have been created to sync with course membership including:

  • Teams created in PeopleSoft for courses delivered in Blackboard
  • Teams created in Canvas

Why do we have MyHub for managing L&T Teams

Teams and SharePoint store a great deal of data which can be shared across staff and students. We need to make sure that data is secure and seen by only those who need to access it.

MyHub is a user-friendly app to help you manage who can access your Teams.

What is different about L&T Teams?

The membership sync with enrolment is the most significant difference, which impacts how these Teams are archived and restored.

Guidelines for renewing L&T Teams via MyHub

All MS Teams and SharePoint sites are governed by MyHub as part of the University’s response to the SharePoint data breach incident in 2021. The following guidelines are based on recommended practices for managing your MyHub renewals. Changes to technology or Griffith policies could mean this guidance changes in the future.

Who should archive or renew L&T Teams?

The original convenor should be assigned as Primary Site Contact for the Team, and should be the person to archive the Team.

Alternatively, each academic group can determine who should complete the archiving process. If not sure, contact your Learning and Teaching Consultants.

When should an L&T Team be archived?

  • Archive a Team that is 3 years old or more
  • Renew Teams that are younger than this

How to check how old a Team is

You can check when a Team was created by:

  • Checking the course code in the title of the Team – for example, 1234ABC_3235 means the course ran in 2023 (represented by 23 in 3235), and in Trimester 2 (represented by the 5).
  • If the title of the Team has been changed, you will see the date created during the Renewal process. As shown in the below screenshot, after selecting the Team and clicking the Renew workspace button, you will see information about the Team. The date created is underneath the title of the Team on the left-hand side.

Frequently Asked Questions

Can an L&T Team be restored if archived earlier than 3 years?

At this stage, the Restore process that can be used by Primary and Secondary Site Contacts for other types of Teams cannot be used for L&T teams. You can, however, log a job to request restoration of the Team.

Will a Team that has been archived be deleted?

Eventually, yes it will. The policy governing retention of Learning@Griffith content is under review. Once reviewed and in conjunction with Information Management & Solutions, L&T Teams will be compliantly disposed of once minimum retention periods are met.
