What is an sNumber?

Do you have a Griffith University sNumber (eg s1234567)? If not, then you may need to get one.

  • Are you a person authorised by your organisation to manage a purchase order? Please contact the Technical Manager at the workshop you wish to use. They can help you obtain a Griffith Visitor account to use with iLab.
  • If you have been delegated authority to use an existing purchase order then you should contact the person who delegated the authority to you and ask them to request a login for you as above.

Before you can register in iLab

The purpose of iLab is to let you purchase services or products from facilities in different parts of Griffith University. When you register for iLab, you need to already have permission to spend money from a financial account (eg speed type and class) and also know who the account holder is.

Know at least one Lab

iLab allows people who own financial accounts to manage funds being spent in the use of Griffiths facilities including the Mechanical Workshop and the Electronics workshop operated by Griffith Sciences. Before you can sign up to iLab you need to find out the name of a Lab that you should use to provide the funding for the work you need done.

The path you need to follow to get work done is:

  • Find a Lab name you should use
  • Register yourself in iLab
  • Wait for Lab Owner to accept your request
  • Lab Owner gives you access to an account
  • You can log into iLab and log a new request

TIP: Make sure that you contact the Lab owner and let them know you have signed up. If the lab owner does not give you access to a source of payment (speed type and class, or purchase order) then you won’t be able to request anything!

Maybe you need a Lab of your own?

If you are an account holder, you may need a lab of your own. If you are not sure then speak to your school administrator or your financial consultant (fin conn).

If you do need a new lab then you must register in iLab first so that your login can be used in the creation process. Since you are not signing up for another lab, you should choose the Admin (Griffith) Lab when you are registering. See the Guides below for the full registration process.

Important: Email the iLab Administrator from the contacts and tell them your speed types and classes, or purchase order information and they will set up access for you.

Work requests

A Lab owner is the person who has the financial responsibility for the financial accounts covered by the lab. A person can be a Lab Owner (known as a Principle Investigator or ‘PI’ in iLab) in multiple labs and be a member of another lab owned by someone else. A lab must have at least one person in it. In general, labs for Griffith are named for the PI.

For instance, if Kim Yi had research funds available to her in her own speed type and class in Peoplesoft, she should request a lab. The iLab Administrator would receive her request and create the lab named, “Yi, Kim (Griffith) Lab”. Once the lab is created, Kim could go into iLab and manage her lab. Kim as PI can add other registered iLab users into her Lab and assign them access to one or more financial accounts. Perhaps Janos Flynt is one of Kim’s PhD candidates. Janos is working on an engineering project which needs some electronic circuitry created. Kim wants Janos to oversee the design and construction of the item so suggests that Janos should register in iLab. As he is a new user, Janos selects Yi, Kim (Griffith) Lab when registering. iLab then emails Kim letting her know that she should accept Janos into her Lab. SH should assign him access to at least one account, otherwise he will not be able to submit requests. Note that Kim will still be requested to approve Janos’ spending on the account before work commences.
