Community members are welcome to hire our facilities

Our facilities include different-sized seminar rooms, meeting rooms, lecture theatres and function spaces. Find out about fees, catering and security requirements, cancellations, site licences and how to book a space.

We also have a range of sporting facilities and specialist function spaces available to hire.

General information

Bookings

To hire a seminar room, meeting room, lecture theatre or other function spaces, submit a booking application form below. Booking applications should be submitted at least 15 working days before your event or function.

Approval of facility hire, and evaluation of acceptable facility use is at the sole discretion of Griffith University. Rooms and facilities cannot be accessed without prior approval. All approved bookings will be issued with a site licence or booking confirmation, which must be produced for verification on request.

  • All applications by University staff on behalf of external groups or University partners must be made via this process.
  • All University partners and tenants must complete venue bookings via this application.
  • This booking form is not for venue hire of Queensland Conservatorium facilities—see details below.
  • Requests for sport facilities can be made via Griffith sport and recreation facilities.

EcoCentre venue hire

Hire fee payment

Hire fees must be paid at least 10 working days prior to use of the facilities. Non-profit or community groups wishing to receive the 25% discount will need to provide evidence of their non-profit or charitable status at the time of booking. Additional fees may be charged for other services such as security or extra cleaning where applicable.

Cancellations

Notification of cancellation must be received 72 hours prior to your scheduled booking. You will receive a full refund of the hire charge minus a $75 administration fee. Fees are non-refundable for cancellations made with less than 72 hours’ notice.

Site Licence

Organisations that hire Griffith University’s facilities will be issued a Campus Site Licence, which covers specific conditions of hire. You must read the Conditions of the Campus Site Licence before commencing your online booking.

Campus Site Licence

The form must be signed by the client and a Griffith University representative before it comes into effect. You will need to provide evidence that you have current public liability insurance cover of at least $10,000,000 before the Site Licence will be issued.

For a Site Licence to be issued, an Event Plan must be included with your application, which will need to include at a minimum: emergency contacts, schedule and description of activities and a risk assessment. Larger events will require further information as detailed in the booking application.

Catering

Catering may be organised directly with on-site caterers.

Catering

For smaller functions of 50 or less people, external caterers may be used but it's mandatory they comply with the External Caterer Requirements, be self-sufficient and able to provide all the necessary equipment to comply with the health regulations. It is the hirers' responsibility to meet all requirements.

Alcohol

Alcohol may only sold or supplied from the site with the consent of the University.

On-campus parking charges apply from 7 am to 7 pm.

Events may require the attendance of a security guard for an additional cost. This will be advised once booking as been submitted.
