Scholarships payment board and re-eligibility

Communication

Once you are in receipt of a scholarship, the Undergraduate Scholarships and Prizes Office will communicate with you via your student email account. We do this for privacy and security reasons. It is your responsibility to check your emails regularly and to maintain your email account quota.

Scholarship payments

Cash

  • Cash payments for scholarships are made three weeks after census date unless otherwise stated. These are paid directly into the bank account nominated by the scholarship recipient.
  • When providing bank account details you will be asked for your BSB, account number (this is not your actual card or credit card number) and account name (e.g., John Smith, not the name of the account type, e.g., savings). If you are unsure of these details, you will need to contact your bank's local branch.
  • Due to the difference in census dates for Bachelor of Medicine/Bachelor of Surgery and accelerated programs, students admitted into these programs have a different payment cycle and will be advised accordingly.

Student contribution charge

Student contribution charge payments (formerly known as HECS) are made on behalf of the student, for tuition fees incurred at the time of census date. These will be paid on your behalf up to the nominated value. If you receive information from the Fees and Charges office, you will be responsible for any outstanding balances to your contribution charges.

Eligibility

Eligibility for payment is based upon study load. Generally, a full-time study load is 30CP-40CP per semester (depending on academic program). Special consideration is allowed for a part-time study load on a case-by-case basis. This may entail a letter from a health-care professional or a Program Convenor stating the reasons for undertaking a part-time study load.

Re-eligibility

It is a requirement of some scholarships that a re-eligibility check occurs each semester to ensure you still meet the requirements for the scholarship. An email will be forwarded to your student email account outlining the steps involved to prove eligibility. You MUST reply (with history) to the email providing all the required information to continue receiving your payment.

Providing documentation

When submitting applications or accepting your scholarship offer, you may be asked to supply specific documentation. Below is an outline of what you may be asked to submit:

Statutory declaration
A statutory declaration is a legal document similar to a statement made under oath, however, it is not sworn, but must be signed by a Justice of the Peace. Statutory declarations can be obtained at any post office or by downloading the form.
Centrelink statement
The most current copy of your Centrelink statement showing the type of benefit you are currently receiving and the amount you receive. You can obtain a copy by downloading your statement from the Centrelink website or by asking for a copy from your local Centrelink office.
School reports
Copies of your Year 11 and Year 12 school reports or a letter from the principal/deputy principal stating the years you attended the particular school. Letters must be submitted on official school letterhead.
Negative impact statement
A statement addressing a situation or scenario that has affected or could affect your current or future studies. You will need to document this on a Statutory declaration and have it signed by a Justice of the Peace.

Justice of the Peace

Student services provide a Justice of the Peace free of charge to all students. Justice of the Peace are available at most Student Services on each campus. Please visit the Student Services homepage for Justice of the Peace availability times.

Scholarship/s cycle

Application open and close dates and the payment cycle are listed below (guide only). For more information, please check individual scholarships for specific close dates and scholarship details. Please note: close dates will be strictly adhered to.

January

  • Re-eligibility emails for scholarships of students admitted into Bachelor of Medicine/Bachelor of Surgery and accelerated programs sent out
  • Re-eligibility forms emailed to all current recipients of Commonwealth / Sir Samuel Griffith Scholarships, Sports Excellence, other School/Faculty-based scholarships.

February

  • Re-eligibility documentation (if required) due date.
  • Payments made to continuing scholarship recipients of Commonwealth Scholarships and Sir Samuel Griffith Scholarships enrolled in tri-semester programs.

March

  • Census date: cash payments made within 3 weeks of census date to student nominated bank accounts.
  • Student Contribution Charge payments will be automatically credited on your behalf.

April

  • Final processing and checking of eligibility status for payment for all scholarships.
May
  • Updated scholarship application forms will begin to be advertised on the Scholarships website for submission for the coming year.  

June-September

  • Cycle repeats January to May.

November

  • Applications for most scholarships close.
  • Applications for UniStart close.
  • Assessment of UniStart applications begin.

December

  • Notification of application outcomes commence - Uni Start, Sir Samuel Griffith and several other scholarships.
