Conference Calls

There are three types of telephone conference call link-ups. Please select the most suitable method for you.

  1. Using a conference telephone for a group of 4 or more people only on one phone point. Conference phones are able to be booked through Learning Environment Services (opens in new browser window). Phones are able to be booked at no charge if being used in a common use meeting room. For non-common use facilities a cost recovery charge of $35 will apply. Since teleconference phones require an analog phone line, only the rooms listed on the linked page can be booked for this service.
  2. Self-initiated, three-way conference call using a Dterm (secretarial) telephone. Not recommended for more than 3 people from one phone point. See instructions below on how to use your Dterm telephone for conference calls.
  3. AAPT Teleconferencing. Used ONLY when more than one external number is required for a conference phone link-up. Please Note: AAPT charges apply.
Booking a Teleconference phone

If there are four or more people participating in the call and all are in the same room.

The chairperson should:

  1. Book a meeting room through Room Bookings (all campuses ext 56699).
    Please note that Conference phones are provided at no cost into common use meeting rooms but will be charged on a cost recovery basis into non common use rooms at $35 per booking.
  2. Book a Conference telephone. This can be done through the Learning Environment Services AV Booking system (opens in new browser window)

    It is important if booking a phone for a non-common use room that you first check that there is an available Analog phone port as these phones will not work in Digital phone ports. Log a job through InfoServices on 55555 to the Voice Services team to ascertain if your room has a suitable phone port. Learning Environment Services will not be able to supply a phone to non-common use rooms if this has not been ascertained beforehand.

    Common use meeting room phones have restricted phone access. To conduct a conference call on a phone with restricted access a PIN is required. To obtain a PIN please call Information Services on extension 55555 to log a job with Voices Services.

Please Note: Please allow 1 day for issue of PIN. (For further information on PINs please visit the telecoms website and select the Voice Services menu item, and then “Personal Identification Numbers”.

Self-initiated three-way conference calls using a Dterm (secretarial) telephone.

A conference call involving three participants can be initiated by any person from any Dterm (secretarial) telephone. The configuration of participants for this type of call is: Up to two internal Griffith University extensions and only ONE external participant.

Please NOTE: There are a number of other types of analogue telephones (not pictured) around, (some older Interquartz, some NEC models, Telstra T300) but only the Leader of the type pictured has a screen. If the telephone does not have a screen it will most likely be an Analogue telephone.

The chairperson should:

  1. Locate a Dterm (secretarial) telephone.
  2. Dial the telephone number of the first participant. This can be either an external telephone number or an internal University extension number.
  3. When answered, ask the participant to wait.
  4. Press the TRANSFER or TRF or FUNCTION or FNC button. (Depending on the model Dterm you are using)
  5. Wait for the dial tone.
  6. Dial the telephone number of the second participant. This must be an internal University extension number.
  7. When answered, press the CONF or CNF button.
  8. Begin the telephone conference.

Please Note:

  1. To activate the hands-free facility on the Hypercore Dterm press the FNC or Feature key then the 5 key
  2. To activate the microphone, press the FNC or Feature key then the 1 key (the microphone light will turn on) and,
  3. Press the SPKR/ Speaker key before dialing the first participant.

The hands-free facility allows a group of three to four people to participate in the conference from the chairperson's telephone.
Any participant may withdraw from the conference call at any time by hanging up. The remaining two participants can continue the call.

AAPT Teleconferencing Services

Telephone conference calls involving two or more external participants can be booked through AAPT Teleconference by Phoning 1300 360451. Any telephone can be used for the conference. Bookings must be made through AAPT at least 24 hours prior to the conference.
